Antematter Inc. ("Lawgbook," "we," "us," or "our") operates the Lawgbook platform and the website at lawgbook.com. This Privacy Policy explains how we collect, use, share, and protect information in connection with our services.

1. Scope

This policy applies to all users of the Lawgbook platform, visitors to our website, and anyone who interacts with our services. It covers data collected through the Lawgbook application, our website, and any related communications.

Lawgbook acts as a data processor on behalf of law firms (our customers) when handling communications data. Your law firm remains the data controller and is responsible for its own compliance obligations regarding its clients' data.

2. Information We Collect

Account and firm information

When you create an account or request a demo, we collect your name, email address, firm name, role, and practice management software details. This information is used to set up and administer your account.

Communications data

When you connect integrations (such as Gmail, Outlook, Zoom, Microsoft Teams, or other communication platforms), Lawgbook accesses and processes communications content to generate time entries. This includes:

  • Email messages, including body content, subject lines, senders, recipients, and timestamps
  • Email attachments
  • Call and meeting transcripts and recordings
  • Meeting metadata such as participants, duration, and scheduling details
  • Messaging content from connected platforms

Practice management data

We access matter names, client records, and related metadata from your practice management software (such as Clio or MyCase) to match communications to the correct matter and generate accurate time entries.

Website and analytics data

When you visit our website, we collect usage data through analytics tools and cookies. This includes page views, referral sources, browser type, device information, and IP address. We use this data to understand how visitors interact with our site and to improve our services.

3. How We Use Your Information

We use the information we collect to:

  • Match communications to matters and generate draft time entries
  • Sync attachments and documents to your practice management software
  • Provide, maintain, and improve the Lawgbook platform
  • Set up and administer your account
  • Communicate with you about your account, product updates, and support requests
  • Analyze website usage to improve our marketing site and user experience
  • Comply with legal obligations

4. AI Processing

Lawgbook uses artificial intelligence to analyze communications, match them to matters, and generate time entry descriptions. By default, this processing is performed using third-party AI model providers via API. For enterprise customers, self-hosted AI models are available so that communications data never leaves your firm's infrastructure.

Regardless of the deployment model, the following safeguards apply:

  • Your firm's data is never used to train AI models
  • AI outputs are auditable and can be reviewed before syncing to your practice management software
  • You can configure which AI models are used in your environment
  • AI providers are contractually prohibited from retaining or using your data

5. Data Sharing and Sub-processors

We do not sell your personal information or your firm's communications data. We share data only in the following circumstances:

  • Cloud infrastructure providers — we use cloud hosting services to store and process data in secure, isolated environments.
  • AI model providers — communications content may be sent to AI providers via API for processing. These providers are contractually bound not to retain or train on your data.
  • Analytics providers — we use analytics tools on our website to understand visitor behavior. These tools do not have access to your firm's communications data.
  • Email delivery services — we use transactional email providers to send account-related communications.
  • Legal compliance — we may disclose information if required by law, subpoena, or other legal process, or if we believe disclosure is necessary to protect our rights or the safety of others.

6. Data Security

We implement technical and organizational measures to protect your data, including:

  • End-to-end encryption of data in transit and at rest
  • Isolated, single-tenant environments for each firm
  • Role-based access controls
  • Comprehensive audit logging
  • Secure software development lifecycle practices

No method of transmission or storage is completely secure. While we strive to protect your data, we cannot guarantee absolute security.

7. Data Residency and Hosting

Lawgbook offers configurable data residency. Your firm can choose the geographic region where your data is stored and processed. Available regions and any applicable restrictions are discussed during onboarding.

If your firm is located in the European Economic Area (EEA) or the United Kingdom and your data is processed outside those regions, we rely on appropriate legal mechanisms (such as Standard Contractual Clauses) to ensure lawful data transfers.

8. Data Retention

Lawgbook retains communications data according to the retention period configured by your firm. You can set and adjust your data retention policy at any time through the platform.

Account information is retained for the duration of your subscription and for a reasonable period afterward to fulfill legal and business obligations. Website analytics data is retained in aggregated form.

Upon termination of your subscription, you may request deletion of all your firm's data. We will process such requests within 30 days, subject to any legal retention requirements.

9. Cookies and Tracking Technologies

Our website uses cookies and similar tracking technologies to:

  • Essential cookies — required for the website to function properly.
  • Analytics cookies — help us understand how visitors interact with our website so we can improve it.
